Regulations

Payment for booking is required in advance. A 50% deposit will be taken to secure the booking with full payment needed 28 days prior to scheduled date.

If booking less than 28 days before event, payment in full is required.

Additional tents can be added to booking up to 3 days before event.

For any Bookings made, the full cost of hire must be fully paid at the time of booking, including a refundable Damage Deposit of $200 per tent.

Damage Deposits will be refunded within 7 days of the end of period hire, subject to any loss or damage to the Equipment.

The Client will be liable for the cost of any loss or damage exceeding the amount of the Damage Deposit. Details of any loss or damage will be provided to the Client.

Why pay in advance? West Coast Bell Tents is an event accommodation service that means we cannot accept payment on site.

Cancellation Policy

In the event of cancellation by the hirer, West Coast Bell Tents will retain from the booking;

If cancelled more than 28 days before the day of booking, West Coast Bell Tents will retain 15% of booking fee.

If cancelled between 7 – 28 days of planned booking, West Coast Bell Tents will retain 50% of overall booking cost.

If cancelled less than 7 days before planned booking, their will be NO refund.

Cancellations made by West Coast Bell Tents

We have the right to cancel the booking if we believe weather conditions such as storms, windspeed and flooding could result in damage to the tents. In such circumstances, we will refund 100% of the payment made and work with you in order to reschedule your event.

Use of Bell tents

– Check in is 3.00pm. Checkout is 11.00am. Unless otherwise discussed.
– During the period of hire, it is your responsibility to make sure the Bell Tents are closed, dry and secure.
– NO naked flames or smoking at any time inside the tents.
– Loss or damage to the tent, furnishings inside or excessive soiling will result in charges to the booker of the tent, and will result in loss of deposit and possible additional charges.

Other

WCBT will not be held responsible for claims for injury to persons, or loss and damage of property, however caused, unless it is proved that injury or damage resulted from faulty materials, workmanship or negligence on the part of West Coast Bell Tents.

The Equipment

The Client is fully responsible for the Equipment for the duration of the period of hire.

-The Client will be responsible for all expenses, losses, damages, and/or claims suffered during the period of hire arising from any negligence or fault of the Client and/or any such claims, or reimburse the Company for any losses or damages to the Equipment.
-The Client agrees not to use any electrical equipment included but not limited to lighting, appliances or other decorative electrical items, without written consent being received from the Company.  Such consent must be requested prior to the commencement of the period of hire.
-The Client agrees not to use any naked flame in, or within four metres of the Equipment.
-The Client agrees to immediately report any theft of the Equipment to the local Police Service and to the Company.
-The Client agrees to use the Equipment for purposes only that accord with the laws of the jurisdiction in which the site is located.
-The Client agrees not to deface or tamper with the Equipment including, but not limited to, affixing any object to the Equipment.
-The Client agrees no smoking is permitted within four metres of the Equipment.
-The Client agrees not to remove the Equipment, or any part thereof, from the agreed site at any time.
-The Client must ensure that all Equipment is vacated by 11.00am on the final day of the rental period, unless prior arrangement with the Company for a later departure time has been made in writing.
-The Company reserves its right to inspect the Equipment at any time for the duration of the rental period.  Should there be any damage sustained to the Equipment, or any other breach of these Terms by the Client, the Company reserves the right to remove the Equipment from the site without notice to the Client.

Booked Site / Location

  1. The camping site / location chosen by the Hirer has to be on safe flat and firm ground with no hidden or concealed drainage pipes, cables or rocks and with easy vehicle access.
  2. The site chosen by the hirer should not be susceptible to poor drainage, risk of flooding or to be on uneven or boggy ground. Damage to equipment or personal property caused by this is the responsibility of the hirer.
  3. The site must have suitable parking arrangement and should not be more than 35 metres from the parking area and be free of any obstructions. It is the hirers responsibility to ensure the above is in place. Failure to do so may incur additional costs by WCBT or be considered a cancellation.
  4. WCBT will only provide equipment that was agreed and paid for on the quote, unless the hirer has made changes and paid for any changes prior to the hire date.

 

Festival Partnership

Regulations

Payment for booking with a Festival organisation is required in advance. A 50% deposit will be taken to secure the booking. Under no circumstances will WCBT attend a festival booking without prior payment.
